Protecting your company from payroll fraud
Payroll fraud often starts with a message that feels urgent, unusual, or just slightly off. Fraudsters may try to impersonate employees or use phishing emails to gain access to sensitive payroll information or intercept and redirect an employee's pay.
A few simple habits can help protect both your company and your employees.
Best practices for preventing payroll fraud
Pause before acting on urgent requests. Be cautious of unexpected emails, unfamiliar senders, unknown links, or messages asking for immediate action — especially when they involve payroll or banking changes.
Have employees update their own banking information in Collage. If an employee needs to change their payroll banking details, they should log in to Collage using their own credentials and make the update themselves. Employees are also required to upload a cheque image, which helps confirm the change and reduce the risk of fraudulent or inaccurate information.
Send a password reset instead of making changes on someone’s behalf. If an employee cannot access their account, you can send them a password reset from Company Settings > Users. This is more secure than manually updating sensitive information for them.
Use Collage security features. Consider enabling single sign-on (SSO) under Company Settings to strengthen account security.
Do not share login credentials. Every user should have their own account. If additional access is needed for employees or external users, separate accounts can be created in Company Settings.
Avoid saving passwords in browsers or device vaults. Encouraging secure password habits can help reduce the risk of unauthorized access.
Review payroll regularly. Knowing what your normal payroll activity looks like can help you identify unexpected or unauthorized changes more quickly.
